Church Council Minutes

November 26, 2012

Bill opened the meeting at 7:07 p.m. with a devotional from Exodus 14: 13-14 reminding us to ‘Let go and let God.’

 

Carolyn moved and Christina seconded the motion to approve the minutes of the October 22nd meeting.  The motion carried.

 

Trustees

Darren reported that roof repairs should be completed by the end of this week.  He identified the need for a five-year plan to address on-going issues with the roof including the copper flashing and decaying tiles.

 

A replacement value of the stained glass windows has been set at $248,000 for all 56 windows.

 

The trustees are in the process of considering replacement carpet.  They have selected a color that is available in both roll and tile formats.  Separate bids have been requested for 1) the main sanctuary, 2) the chancel, and 3) the chapel.

 

SPPRC

Christina reported that the committee has four major reports to complete.  Bill will help coordinate reports that are to be done in tandem with other committees.  The goal for completion is December 7th.

 

The committee determined that the mission can best be meant with the leadership of the current clergy.

 

Policies and procedures are in place for next year and a handbook is available for all staff.  Job descriptions are on an electronic file in the office.

 

Finance

 

Year to date summary:  We are presently $8,250 in the hole with a $21,000 shortage of income from giving.  Next Sunday, December 2nd, Bill will present a request to the congregation for ‘13th month giving’ to help bring us closer to balancing the budget.

 

Mike presented a budget proposal for 2013 showing an increase of $5,380 for a total of 1.9378%. At this time, 43 pledges account for 51% of the proposed budget. Darren moved and Donna seconded the motion to approve the finance committee’s recommendation that the budget for 2013 be $283,012.  The motion passed. Carolyn commended the committee for being efficient and being good stewards of the church’s money.

 

Bill emphasized the importance of pledges to the financial planning process.  It is imperative to have a better estimate for the planning committee to be able to make decisions.  Financial information will be disseminated through the bulletin, “The Vine,” and during the December 2nd worship service.

 

The finance committee will be meeting in December to make a final determination of the yearly status.

 

Staff Reports

Shelly shared that the Christmas program on December 16th will be “Live from Bethlehem.”

 

She still seeks a Sunday school teacher for 2nd and 3rd grade as well as several leaders for children’s church.

 

Pastor Paul

Paul thanked everyone who attended the Church Conference.  The meeting went smoothly.

 

Closing Remarks

There will be no December meeting of the Council.

Bill thanked the members of the council for their service during his tenure as Chair. Carolyn thanked Bill for his leadership for the past two years. Christina Lawrenz will be taking over the position of Council Chair in the new year.

 

Donna suggested having a soup contest and caroling opportunity on the evening of December 16th beginning at 5:15.

 

Christina invited the Council members to join the members of the SPPRC for a come-and-go social at the Lawrenz’s home on Friday, December 14.

Bill offered a closing prayer at 8:37 p.m.
